Privacy Policy
Effective October 16, 2026
This policy explains how the Northridge No. 5 Subdivision Homeowners' Association, Inc. (“the Association,” “we”) handles information collected through northridgehoa.com. The Association is a nonprofit homeowners' association run by volunteer board members.
Information we collect
When you use the contact form, we collect what you enter: your name, email address, phone number (optional), whether you are a Northridge homeowner, your street address (if you are), the topic you choose and your message. We also record the date and time and your internet (IP) address, which we use to prevent spam and abuse.
When you email the Association or reply to one of our emails, we receive your message, your email address and any attachments you send.
When you simply visit the website, we do not ask for any personal information and we do not use advertising or analytics cookies. Like most websites, our hosting and security providers keep standard technical logs (such as IP address, browser type and pages requested) for security and troubleshooting.
How we use it
- To read and respond to your message, and to send you a confirmation that we received it.
- To carry out the Association's duties under its Declaration of CC&Rs, Bylaws and Idaho law, such as architectural review, assessments, enforcement and records requests.
- To keep the Association's records of correspondence, as described below.
- To protect the website and the board's inbox from spam and abuse.
We do not sell, rent or trade your information, and we do not use it for marketing.
Who can see it
Messages are available only to current members of the Association's Board of Directors through a password-protected board inbox. We may also share information:
- with service providers that help us run the website and email, only as needed to provide their service (see below);
- with the Association's attorney, accountant, insurer or management company when needed for Association business;
- when required by law, court order, or the Association's governing documents (for example, a member's lawful request to inspect Association records).
Service providers
- Cloudflare provides our domain name service and website security. If spam protection (Cloudflare Turnstile) is shown on the contact form, Cloudflare processes information about your browser to tell people and bots apart.
- Amazon Web Services hosts the website and stores Association records.
- Postmark delivers email to and from the board, and Fastmail handles the Association's email domain.
- Google Fonts supplies the fonts used on this site, so your browser connects to Google when pages load.
- PayHOA runs the separate homeowner portal reached through “Member Login.” Information you provide there is governed by PayHOA's own privacy policy, not this one.
Email from the board
Emails the board sends may include a small, invisible image that tells us whether the email was delivered and opened. We use this only to confirm that important notices reached you. Links in our emails are not tracked.
How long we keep it
Correspondence with the Association becomes part of the Association's records. We keep it for as long as needed for Association business and for the period required by law and the Association's records policy, which may be up to ten years or longer. Records are stored securely, with access limited to the board, and backed up.
Cookies
The public website does not set cookies. The board inbox uses a single sign-in cookie for board members only.
Your choices
You can ask to see the information the Association holds about you, or to correct it, by sending a message through the contact form. Because the Association must keep accurate records of its correspondence, we may not be able to delete messages that are part of those records.
Children
This website is intended for homeowners and other adults. We do not knowingly collect information from children under 13.
Changes
We may update this policy from time to time. The effective date at the top of this page shows when it last changed.
